Privacy notice

RealtyKeeping is a product of Zenaclove IT Solutions, a company based in Nigeria. In this notice, “we” means Zenaclove IT Solutions acting through RealtyKeeping.

• Account details: your name, email address and phone number.
• Trial and demo request details: your name, contact details, company, the suites you are interested in, and any message you send us.
• Workspace business data that customers enter: property, tenant, buyer and agency records, and financial records such as invoices, receipts and ledger entries.
• HR and payroll data that customers enter about their staff: salary, bank details, tax ID, and pension and PFA details.
• Technical logs: IP address, browser type, error reports and email delivery status.

For account details and trial or demo requests, we are the data controller. We decide why and how that data is used.

For workspace data, including HR and payroll data about a customer’s staff, the customer is the data controller and we are the data processor. We handle that data only on the customer’s instructions and to provide the service. If you are a tenant, buyer or employee of a RealtyKeeping customer and want to exercise your rights, contact that customer first. We will help them respond.

• Contract: to set up accounts and workspaces and to provide the service.
• Legitimate interest: to keep the service secure, prevent abuse, fix errors and improve the product, where this does not override your rights.
• Consent: for marketing messages. You can withdraw consent at any time.
• Legal obligation: where Nigerian law requires us to keep or disclose records.

We use these service providers to run RealtyKeeping. They act as sub-processors and may only use data to provide their service to us.

• Supabase: database and authentication.
• Vercel: application hosting.
• Resend: email delivery.
• Cloudinary: file storage.
• Sentry: error monitoring.

Some of these providers process data outside Nigeria. Where that happens, we rely on appropriate safeguards, including written data processing terms, as the NDPA requires. We do not sell personal data.

• Account data: while the account is active and for 12 months after it closes, unless the law requires longer.
• Workspace data: while the customer’s workspace is active and for a short period after trial expiry or termination, so the customer can ask for an export. After that we delete it on request or on our regular clean-up.
• Email delivery logs: 90 days.
• Backups: kept by our providers on their own schedules, and overwritten as they expire.

Data is encrypted in transit. Access inside a workspace is controlled by roles, and our own staff access is limited and logged. We keep audit logs of sensitive actions and monitor errors so we can respond quickly. No system is perfectly secure. If a breach affects your personal data, we will notify you and the Nigeria Data Protection Commission as the law requires.

Under the NDPA you have the right to:

• access the personal data we hold about you
• correct data that is wrong or incomplete
• ask us to erase your data
• ask us to restrict how we use it
• receive your data in a portable format
• object to processing based on legitimate interest
• withdraw consent at any time
• complain to the Nigeria Data Protection Commission if you think we have not handled your data properly

We use only essential cookies for sign-in and to remember your preferences. We do not use advertising or tracking cookies, so there is no cookie banner.

RealtyKeeping is for businesses and is not intended for anyone under 18. We do not knowingly collect data from children. If you think we have, contact us and we will delete it.

We will update this page when our practices change and revise the date at the top. For material changes we will also tell account holders by email.
